Important Meet Updates

As this weekend’s meet approaches, please take some time to read the (many) updates below.  Remember that FULL MEET INFO can be found on our Home Meets page, and any last minute or urgent updates will also be posted on our Twitter feed.  The links are as follows:

Coaches, don’t forget to make any changes required of you by ISI and to register any unregistered swimmers.  Please contact me with any questions you have, and good luck to all swimmers!!!

Wheaton Swim Club
Positive Check-in
This is a positive check-in meet for all sessions.  On Friday night, swimmers will check in for all events at the start of the session, including the 1500.  I will verify with all coaches about 40 minutes before the 1500 begins if you have any scratches.  We will reseed the 1500 if necessary if we can eliminate one or more heats. TIME TRIAL CHECK IN: We will post a SEPARATE CHECK IN for time trials.  They will be posted as soon as the meet begins (around 9:00 a.m.) each day, and will remain open until 11:30 a.m.  I will verify with each coach that all their swimmers checked in. I CANNOT ACCEPT ANY MORE TIME TRIAL ENTRIES FOR SATURDAY. 
Relays
There will be NO RELAYS on Saturday.  We will make the determination about Sunday’s relays based on positive check in.  However, I suspect we will cancel those relays as well.  Relay entry fees will be returned to you.
Time Trials
We will post a SEPARATE CHECK IN for time trials.  They will be posted as soon as the meet begins (around 9:00 a.m.) each day, and will remain open until 11:30 a.m.  I will verify with each coach that all their swimmers checked in. I CANNOT ACCEPT ANY MORE TIME TRIAL ENTRIES FOR SATURDAY.  Sunday’s time trials may or may not have room for new entries.  Please see me on deck on Sunday morning.  We will have a 5-10 minute warm-up for time trials immediately following the a.m. session. (longer if possible based on the finish time of the a.m. session).
Time Trial Timers
Please instruct your swimmers to provide their own timers.  I am not going to ask the a.m. session timers to stay for the time trials.  The time trials should last about 30-40 minutes so if just a few parents are willing to help, we will have more than enough timers.
Twitter
If there are any last minute timeline issues, etc I will post them on our team website but also will post them on our team twitter account at www.twitter.com/wheatonswimclub.  “Follow” us today to make sure you can get these updates in the timeliest fashion!
Bull-pen
We will be bullpenning the 8&U swimmers ONLY for this meet.  Please keep the area by positive check-in completely free from bags, towels, bodies, etc during the a.m. sessions.
Warm-up Assignments
Assigned lanes are now posted on our Home Meets page.  Friday we will NOT have a split warm-up, but will have assigned lanes.  However, for all other sessions, we will run two 25-minute warm-ups.  You may do starts in your own lane as you see fit, with coach supervision ONLY.  If you are sharing a lane with another team, ensure that your team both do starts at the same time.  Note that in the a.m. sessions, lane 8 is ALWAYS reserved for 8&U swimmers.  If you are assigned to the first warm-up, your 8&U’s should use lane 8 (or your own lane) during the first warm-up.  If you are in the second warm-up, your 8&U’s should use lane 8 (or your own lane) during the second warm-up.
Timeline
A preliminary time-line is now posted on our Home Meets page.  Please note that the length of the time trials MAY delay the start of the p.m. session warm-ups by just a few minutes on Saturday, depending on scratches.  If that is the case, we will still have a full 50 minute warm-up (2 sessions of 25 minutes) prior to the afternoon session.
Vendors, Heat Winners, and Meet Logo
Please support the vendors we have at the meet!  We will have great concessions stand run by Wheaton parents.  The Swim Team Store will be there to provide your swim gear needs.  And Fine Designs will be on hand selling meet t-shirts and sweatshirts.  Heat winners will receive a discount to fine designs!  Check out the Meet Logo which is on the shirts – we hope you like it!
Psyche Sheets
We will only be printing a limited number of psyche sheets for sale at the meet.  The psyche sheet is now uploaded to our Live Results page.  Changes received after 6/14/11 may not be reflected in the psyche sheet.  We will provide psyche sheets for all coaches.
Timing Assignments
Timing assignments are posted on our Home Meets page.  Note that timers from ALL teams receive free admission (they still need to go through admissions first, however).  If you know the names of your timers ahead of time, please email them to me, and I will pass them on to our admissions staff.  This will make the process simpler for them at check-in.
1500 swimmers
Please remember that all 1500 swimmers must provide their own timers and lap counter.  We will swim the 1500 fastest to slowest, alternating women and men. 
Limited Events
The events listed below MAY be limited based on positive check in. In order to meet the time line we will make limitations in the following order
1. Eliminating Relays
2. Limiting Events 200 and longer  to 3 heats minimum
3. Limiting Time Trials (we do not anticipate this)
We do not anticipate any limits to afternoon events, but reserve the right (per the meet packet) to limit events 200 and longer to meet the 10 hour per day (total for all sessions) limitation. We also do not anticipate any limits to the Friday p.m. events.
We also reserve the right (per the meet packet) to swim extra heats of Wheaton Swim Club swimmers in any limited event.
If you have read the above limits and understand them, click on the potential limited events for the a.m. sessions. Coaches ONLY may contact the meet entry chair with any questions regarding limited events. Meet entry fees will be refunded to those teams who have swimmers limited out of events. Relay fees will also be refunded if relays are cut.

Special Note #2: If your swimmer is in jeopardy of being limited out of an event, and that would leave them with only 2 events on one day, please email me to switch to a different event.  COACHES ONLY!  Do not send a new file.  I will make these changes manually.
Meet Results
We will post live results as we are able at www.wheatonswimming.com/live.  Please do NOT contact us if you feel the live results are not working or are not working as fast as you would like.  We will post results as quickly as we can.  Hard-copy results will also be posted at the meet.
UIC Facility
Please respect the UIC facility.  Ask your swimmers to clean up their team area after each session.  Also remember there are NO CHAIRS allowed in the bleacher or spectator area at any time, per the City of Chicago fire code.  This will be strictly enforced.  Spectators, coaches, officials, or swimmers needed special assistance please see the meet director.
Wheaton Volunteers
Thanks in advance for your help at this meet.  Please check in at admissions with our volunteer coordinator Linda Zillier when you arrive.  Please check out our volunteer arrival times on our 3 page volunteer document.  You will NOT be charged admission for sessions you are working.  Please pick up and wear a name tag while you are working, and please wear any Wheaton apparel you may have!!

Wheaton Swimmers
Please be behind the blocks ready to warm-up 15 minutes before the start of each warm-up session.  We are in the first warm-up each session, so be extra early!  And allow extra time to get there due to traffic, especially on Friday.  Late swimmers will be scratched from the meet.
